What is KolMail?

KolMail is a service that provides access to your email inbox via telephone (IVR). The service connects to your Gmail account using Google OAuth authorization.

What permissions do we request?

The service requests access to your Google accounts for the following purposes:

• Reading email messages
• Sending email messages on your behalf
• Managing labels and sorting mail
• Reading contacts – to search for recipients when sending an email
• Reading files from Google Drive – to attach files to outgoing emails

How do we use your information?

Information from your Google account is used solely to operate the service – reading emails over the phone and sending them. We do not sell, share, or transfer your information to third parties for any other purpose.

Data security

We employ appropriate security measures to protect your data:

• All communication between the phone, website, and server is encrypted using HTTPS/TLS.
• OAuth access tokens are stored in a secured database on our server and are not exposed in code or log files.
• Access to the server and database is restricted to the development team only.
• We do not store the content of your emails themselves – data is loaded directly from Gmail in real time for playback or display, and is not retained afterward.

Data retention and deletion

We retain the following information for as long as your account is active on the service:

• OAuth access and refresh tokens – for ongoing operation of the service.
• Basic account information: email address, name, and profile picture.

You may request deletion of all stored information about you at any time by contacting the email address listed in the "Contact" section, and/or by revoking access via your Google Account settings – which will result in deletion of stored tokens within 30 days.

Google API usage

The service uses Google APIs in accordance with the Google API Services User Data Policy, including the Limited Use requirements.

KolMail's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Data use restrictions

We commit to the following:

• We do not use information from your emails for advertising purposes.
• We do not use information from your emails to train artificial intelligence or machine learning models.
• Only the user themselves (through their actions in the system) accesses the data – no member of the KolMail team reads your emails.
• We do not transfer information from your Google account to third parties for any purpose other than operating the service.

Revoking permissions

You can revoke KolMail's access to your Google account at any time through Google Account Settings.
